What an Incentive Trip Actually Costs Per Person
What's inside a per-person incentive trip price, what's usually excluded, and the two terms you need to understand before comparing quotes.
Incentive trip quotes are almost always expressed as a single price per person. That’s convenient for budgeting, but only if you know what the number includes. Two quotes that look $600 apart can be identical once you read the inclusions.
What a per-person price usually covers
- Lodging for the full stay, typically 4 to 6 nights.
- Ground transfers between the airport, the resort, and every activity.
- Planned activities such as the boat day, the excursion, the beach club takeover.
- Group meals that are part of the itinerary, including the welcome dinner and the awards night.
- The host who travels with the group and runs the trip on the ground.
What’s usually not included
- Flights. Most incentive trips are priced land-only, because travelers come from different cities and companies often book through their own travel tools. A good operator still gives arrival windows so transfers line up.
- Free-time spending. Lunches on unscheduled afternoons, the bar after dinner, spa appointments.
- Travel insurance, which we recommend for every traveler.
Two terms that change the number
Double occupancy means the price assumes two people sharing a room. A traveler who wants their own room pays a single supplement, usually 30 to 60 percent of the lodging portion. If most of your qualifiers travel without a guest, ask for the single-occupancy price up front.
Land only means everything from the moment the group lands until they leave for the airport. If a quote says “all-in” or “including air,” you’re comparing a different thing.
Where the range comes from
For 5 to 6 nights, most incentive trips land between $2,000 and $5,000 per person. The spread comes from destination (Mexico and Central America sit at the low end, Southern Africa and the Pacific at the high end), resort tier, and how many hosted activities are built in. Group size matters less than people expect: a 60-person group doesn’t cost less per head than a 30-person group in any dramatic way, because the big line items scale with each traveler.
How to compare quotes fairly
Ask every operator for the same four things: nights, occupancy basis, a list of included activities and meals, and whether a host travels with the group. Line those up and the real price difference is obvious.
Our itineraries show a starting price per person, double occupancy, land only, and every one lists what’s included. Browse the trips or ask for a quote on a specific one.
